Editable Grid<\/strong>\u00a0or Customizable View<\/strong>\u00a0is one of the newer standard features in\u00a0Microsoft Dynamics 365<\/strong>. This new feature has been available since the Microsoft Dynamics 365 release<\/a> yourself. With \u2018Editable Grid,\u2019 you can quickly edit data within Microsoft Dynamics 365.<\/p>\n\n\n\n

What is the Editable Grid feature?<\/h2>\n\n\n\n

A \u2018Grid\u2019<\/strong> or a \u2018Display\u2019<\/strong> In Microsoft Dynamics 365, a view consists of a list of records for a specific \u2018entity.\u2019 Previously, a view within Microsoft Dynamics 365 \/ CRM<\/a> read-only<\/em>. This meant that you could not edit the data within this view. For example, if you wanted to edit the company name (\u2018Account Name\u2019) or the contact person (\u2018Primary Contact\u2019) for specific records in the view, you had to open the individual records one by one, make the changes, and then save them. Alternatively, you could edit the records \u2018in bulk\u2019 (by selecting the rows to be edited), but this method also had many limitations.<\/p>\n\n\n\n

As a result, updating data was often very time-consuming. There was therefore significant demand from Microsoft Dynamics users to find a user-friendly solution for this. With Editable Grid, Microsoft makes it possible to to quickly adjust data within a view and easily edit records<\/strong>.<\/p>\n\n\n\n

What are the capabilities of the Editable Grid feature?<\/h2>\n\n\n\n

The key features of the Editable Grid functionality are:<\/p>\n\n\n\n

    \n
  • Modifying and editing data in a record inline<\/li>\n\n\n\n
  • Sorting, Grouping, and Filtering Columns<\/li>\n\n\n\n
  • Move columns or adjust column width<\/li>\n\n\n\n
  • Support for the \u2018look-up\u2019 field type<\/li>\n<\/ul>\n\n\n\n

      \n
    • Support for hierarchical views (for example, views of parent and subsidiary companies)<\/li>\n\n\n\n
    • Based on security roles, you can control what can and cannot be modified within the view<\/li>\n<\/ul>\n\n\n\n

      The Editable Grid feature is available for both the web and mobile devices.<\/strong><\/p>\n\n\n\n

      How do you enable the \u2018Editable Grid\u2019?<\/h2>\n\n\n\n

      If you want to use the Editable Grid feature for a specific entity, you must enable and configure it. The Editable Grid can be enabled and configured for both general views (such as \u2018Active Accounts,\u2019 \u2018My Active Accounts,\u2019 etc.) and subviews (for example, the contacts subview on an account form).<\/p>\n\n\n\n

      Below, we explain how to:<\/p>\n\n\n\n

      1. enables the Editable Grid for a general view<\/li>\n\n\n\n
      2. Enables the Editable Grid for a subview<\/li>\n\n\n\n
      3. Configure the editable grid<\/li>\n<\/ol>\n\n\n\n

        1. How do you enable the Editable Grid for a general view?<\/h2>\n\n\n\n

        Step 1:<\/strong> Go to \u2018Settings\u2019 \u2013> Navigate to \u2018Customizations\u2019 \u2013> Click \u2018Customize the System.\u2019.<\/span><\/p>\n\n\n\n

        You will then see a new screen.<\/p>\n\n\n\n

        Step 2:<\/strong> On the new screen, go to \u2018Entities\u2019 and select the entity for which you want to enable the Editable Grid\u2014for example, the \u2018Account\u2019 entity. Then click the \u2018Controls\u2019 tab.<\/p>\n\n\n\n

        You can see that the \u2018Read-Only<\/em> \u2019Grid\" is enabled by default for web\/phone\/tablet. This is the Grid as we know it from before.<\/p>\n\n\n\n

        Step 3:<\/strong> To enable the Editable Grid, first click \u2018Add Control.\u2019.<\/p>\n\n\n\n

        Step 5:<\/strong> Use the radio buttons to choose whether you want to enable the \u2018Read-only Grid\u2019 or the \u2018Editable Grid\u2019 for web\/phone\/tablet \u2013> Finally, click the \u2018Publish\u2019 button.<\/p>\n\n\n\n

        2. How do you enable the editable grid for a subview?<\/h2>\n\n\n\n

        A subview is a view of records related to a parent record. This subview is displayed on the form for that parent record. For example, the contacts on an account form.<\/span><\/p>\n\n\n\n

        Step 1:<\/strong> Go to \u2018Settings\u2019 \u2013> Navigate to \u2018Customizations\u2019 \u2013> Click \u2018Customize the System.\u2019.<\/p>\n\n\n\n

        Step 2:<\/strong> On the new screen, go to \u2018Entities\u2019 \u2013> Expand the menu under the entity for which you want to enable the \u2018Editable Grid\u2019 \u2013> Then click \u2018Forms.\u2019.<\/p>\n\n\n\n

        Step 3:<\/strong> Double-click the form on which you want to customize the \u2018Editable Grid\u2019 in the subview\u2014for example, \u2018Account.\u2019.<\/p>\n\n\n\n

        Step 4:<\/strong> On the next screen, select the \u2018subview component\u2019 for which you want to enable the Editable Grid, for example, \u2018Contacts\u2019 \u2013> Then click \u2018Change Properties.\u2019.<\/p>\n\n\n\n

        Step 5:<\/strong> You will then see a new \u2018Set Properties\u2019 screen \u2013> Go to the \u2018Controls\u2019 tab.<\/p>\n\n\n\n

        3. How do you configure the Editable Grid?<\/h2>\n\n\n\n

        Whether you\u2019ve enabled the Editable Grid feature for a main view or a subview, the configuration remains the same. Once you\u2019ve enabled the \u2018Editable Grid control,\u2019 the \u2018Events\u2019 tab appears. This allows you to configure JavaScript code so that certain actions can be triggered in response to specific changes made to the view.<\/span><\/p>\n\n\n\n

        In addition to configuring JavaScript, there are a few other options you can configure. To do this, you must first select the \u2018Editable Grid\u2019 row.<\/p>\n\n\n\n

        • \u2018Add Lookup\u2019: This allows you to configure how a lookup field will function in the view, such as setting up filtered lookup fields for a specific view.<\/li>\n<\/ul>\n\n\n\n

          • The \u2018Nested Grid View\u2019 and \u2018Nested Grid Parent ID\u2019 can be configured to display a view within a view. Please note that this feature is available only on mobile devices.<\/li>\n<\/ul>\n\n\n\n

            • The \u2018Group by Column\u2019 settings: This option allows you to expand and collapse groups of records within a view.<\/li>\n<\/ul>\n\n\n\n
