More and more organizations are launching pilot projects, exploring potential applications, or integrating AI into their software suites.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But then reality sets in: <strong>The tools are there, but they\u2019re not having the desired impact.<\/strong> Many employees don't use AI enough, fall back on old ways of working, or don't trust the results. What looks like a promising technology on paper doesn't translate into productivity or innovation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The cause? <strong>AI is changing not only your IT environment, but also the way people work, think, and make decisions.<\/strong> It disrupts existing routines, introduces new ways of working, and requires different skills. For many employees, this feels unfamiliar or overwhelming. Without sufficient support, guidance, and context, AI often gets stuck at the stage of isolated experiments. And that\u2019s a shame, because the potential is huge, but you can only truly unlock it if you bring your people along for the ride.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">AI as a standalone project? That\u2019s how it\u2019ll fail<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">In many organizations, AI starts with good intentions but without a plan. A colleague experiments with an AI tool, a department briefly tests automation, or IT explores how AI can be integrated into existing systems. Sometimes, an \u2018AI pilot project\u2019 is even launched, with great enthusiasm but without a clear direction.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Management, too, often wants to \u201cdo something with AI,\u201d but tends to keep its distance. Employees are told to try something out, activate a free trial, or \u201cjust play around with AI.\u201d The idea is to let them discover for themselves what benefits it can bring. But it\u2019s precisely this non-committal approach that prevents AI from moving beyond the stage of isolated tests.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">What is missing is a clear vision, a framework, guidance, and the identification of <em>why<\/em> and above all <em>how<\/em> AI is valuable within the context of your organization. Without that shared starting point, AI won\u2019t get beyond isolated trials that lack broad support; enthusiasm will fade over time, and frustration will set in because it \u201cdoesn\u2019t really deliver anything.\u201d AI then becomes a missed opportunity.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The Real Challenge: Behavioral Change<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Technologically, more and more is possible. AI tools are becoming more user-friendly, more powerful, and increasingly well-integrated into existing systems. And yet, in many cases, the added value remains limited.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The reason? <strong>Not technology, but people.<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Many employees simply have <strong>no time<\/strong> to \u2018learn something new.\u2019 They\u2019re busy with their existing tasks, and to them, AI seems mostly like an extra layer on top of the work they already have to do. Some don\u2019t immediately see the value in it, while others aren\u2019t sure where to start. Uncertainty about what AI means for their role certainly plays a part, but the biggest obstacle is often <strong>a lack of space and guidance<\/strong> to get started with it effectively.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">What organizations often underestimate in this regard is that <strong>The use of AI requires a change in behavior.<\/strong> It requires a different way of working: having the courage to experiment, dealing with uncertainty, and learning to assess when AI is\u2014and isn\u2019t\u2014useful. And that doesn\u2019t happen on its own.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">After all, when implementing a new CRM or ERP system, you wouldn\u2019t just leave employees to \u201cfigure it out on their own,\u201d would you? You provide guidance, training, and support because you know it impacts their day-to-day operations. The same is true for AI. Without that support, it remains a standalone technology that rarely reaches its full potential.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Successful AI starts with three pillars<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">AI adoption isn't just a matter of choosing the right tool and hoping it will take root on its own. To make AI an integral part of your organization, you need to consider <strong>the bigger picture<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In a previous blog post about the <a href=\"https:\/\/alistar.net\/en\/blog\/oh-in-your-organization-where-do-you-really-start\/\">AI Opportunity Radar<\/a>, we described how successful AI initiatives are based on three pillars: <strong>technology<\/strong>, <strong>processes<\/strong> and <strong>people<\/strong>. Those same pillars are also crucial if you really want to make AI take root in your organization.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Technology<\/strong>: Without reliable data, the right tools, and secure integrations, AI quickly becomes frustrating rather than helpful.<\/li>\n\n\n\n<li><strong>Processes<\/strong>: AI should be integrated into your day-to-day operations. Not as an additional task, but as a smart way to enhance what\u2019s already happening.<\/li>\n\n\n\n<li><strong>People<\/strong>: Employees need to understand what AI means for them, feel comfortable using it, and be given time to learn how to use it.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Omit just one of these pillars, and the entire structure begins to falter. AI may be technologically impressive, but it rarely makes it past the testing phase. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How do you get employees on board?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">AI adoption requires more than just a technological rollout. It requires a well-thought-out approach <strong>change management<\/strong>, focused on engagement, guidance, and enthusiasm. You want to not only inform employees but also motivate them.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">What works?<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Start small and recognizable<\/strong><br>Start with applications that eliminate everyday frustrations or make repetitive tasks easier. Think of automatically summarizing meetings, preparing for client meetings, or finding internal information more quickly.<\/li>\n\n\n\n<li><strong>Actively involve employees<\/strong><br>Let them contribute ideas, provide feedback, and test it themselves. It works better when people discover AI for themselves within their own context. Personas and user stories help identify the needs and motivations of different user groups.<\/li>\n\n\n\n<li><strong>Set up Champions<\/strong><br>Champions are internal pioneers who help drive the AI initiative forward. They raise awareness, provide support, and build trust as points of contact for their colleagues. They provide feedback to the project team, share best practices, and help translate the initiative into practice. Champions are not an IT help desk, but ambassadors of change at the heart of your organization.<\/li>\n\n\n\n<li><strong>Invest in hands-on training<\/strong><br>Don't show everything AI can do <em>can<\/em>, but what it <em>does<\/em> in someone's job. Through the <strong><a href=\"https:\/\/alistar.net\/en\/ai\/solutions\/copilot-accelerate\/\">Copilot Accelerate Subscription<\/a><\/strong> Offer targeted training programs tailored to each role or team, at the right point in their learning curve.<\/li>\n\n\n\n<li><strong>Build communities<\/strong><br>Set up an internal AI community where employees can share tips, successes, and challenges. Encourage interaction through internal platforms such as Teams or Yammer\/Viva Engage.<\/li>\n\n\n\n<li><strong>Make it fun and visible<\/strong><br>Set small challenges, reward AI use, and share successes in the internal newsletter or on screens around the office. A healthy dose of competition or game elements makes it tangible and accessible.<\/li>\n\n\n\n<li><strong>Four Small Successes<\/strong><br>Show how AI saves you time, speeds up insights, or eliminates frustration. A relatable example is often more effective than an abstract business case.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">With the right approach, you give employees not only access to AI, but also the confidence and motivation to start using it. To determine whether AI is truly taking root within the organization, you also need to measure how intensively and purposefully it is being used. Only then will you know what works, where adjustments are needed, and where the greatest opportunities or obstacles lie.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">With<strong> <a href=\"https:\/\/alistar.net\/en\/ai\/\">Copilot for Microsoft 365<\/a><\/strong> You'll have valuable insights to help you monitor AI usage in a concrete way. In the Microsoft 365 admin center, you can see, among other things:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>how many employees are actually using Copilot,<\/li>\n\n\n\n<li>in which applications (such as Word, Outlook, or Teams),<\/li>\n\n\n\n<li>how often they use it,<\/li>\n\n\n\n<li>and where usage is stagnating or just beginning to grow.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">This data not only gives you insight into the <strong>adoption rate<\/strong>, but it also lets you identify patterns: Do certain departments use it more often? Are there differences between job roles? Is Copilot used primarily for searching for information, or more for creation and communication?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">By linking these insights to training sessions, internal campaigns, or the work of your Champions, you can address gaps in a targeted way and build on successes.
