Tim Kraan, Senior Account Manager at Alistar, explains how you, too, can procure strategically and generate more revenue with less inventory.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Why data-driven procurement?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Data-driven procurement helps companies purchase more efficiently, cost-effectively, and strategically by using data to optimize all aspects of the procurement process. \u201cThe prerequisite, however, is that you have insight into, among other things, your operational performance, historical sales data, inventory levels, price and demand forecasts, and company-specific data,\u201d says Tim Kraan, Senior Account Manager at Alistar. \u201cAnd we\u2019ve noticed that this can be quite a challenge for many companies. By leveraging software and, above all, setting up processes effectively, we can help you achieve that.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Exact as the foundation for the procurement process<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">According to Tim, there are several ways to effectively implement data-driven procurement. \u201cIt definitely starts with a good ERP system\u2014Exact, in our case. We can already extract a great deal of business information from it, and we can supplement this with business intelligence (BI) software and data analysis tools to, for example, take a more predictive approach\u2014such as: this is how much of product X was sold during period Y. From there, you can analyze when each product needs to be purchased, taking into account inventory turnover, lead times, and available warehouse space.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Without insight, companies don\u2019t know which processes generate revenue and which don\u2019t. What Tim often sees in practice is: \u201cLack of visibility into inventory turnover costs money unnecessarily. With data-driven procurement, you ensure that you\u2019re always on top of your inventory, because you have visibility into the entire process from order to delivery. Based on data, you know when to purchase specific items\u2014not too early, not too late, but exactly at the right time.\u201d<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\">\u201cThanks to Exact\u2019s software, we can clearly see which customers have purchased which products and which ones haven\u2019t. In Exact\u2019s software, you can manage procurement based on various processes and modules. Tim explains: \u201cIn Exact, you can easily align departmental budgets with procurement needs. For example, if IT has a budget of 10,000 euros and has already spent 7,000 euros in the first quarter, then a new request for 4,000 euros must first be verified. Agreements with suppliers are also automatically aligned. Where do you stand with your purchasing? Is the pricing still acceptable, or does the new order perhaps fall into a different tier? These are all rules you can set.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">With that front-end monitoring function, you have a complete overview of what\u2019s being purchased. What we often see in practice is that this monitoring only takes place afterward, once the invoices come in. That can sometimes lead to surprises. With data-driven procurement, you know in advance which purchases (i.e., costs) are coming up. And you can link your purchases to your orders.
