Bergman Clinics: Close Collaboration

With more than seventy specialty clinics in the Netherlands, Scandinavia, and Germany, Bergman Clinics is the largest network for elective medical care in the Netherlands. As Information Management Manager, Mark Snijders is responsible for the business-critical applications at Bergman Clinics Netherlands. To this end, he works with his own team but also likes to draw on the knowledge and experience of Qexpertise. In this case study, Mark explains why this collaboration works so well.

As Information Management Manager, I am responsible for applications such as our electronic patient record system and the ‘My Bergman Clinics’ portal, as well as the ERP, HR, payroll, and staff scheduling systems. I do this together with my team managers, two teams of application administrators, and a business analyst, and with external support when necessary.

Alistar has been supporting Bergman Clinics since 2017. When I joined the healthcare provider in 2018, the organization was already providing a number of senior consultants. They offered support with the application management of the Exact business application. In recent years, a few exciting, well-defined projects have been added, and our collaboration has become even more intensive.

Integration and Standardization of Financial Accounting Systems and Procurement Systems

In 2019, Bergman Clinics and NL Healthcare Clinics merged. This merger had a significant impact on the manageability of master data across the various administrative systems. This led to two major projects in which Alistar provided us with guidance.

First, we merged the financial records. That requires a great deal of precision. Not only is it technically challenging, but it also has to be done in such a way that the accountant can easily understand what has happened.

In addition, in 2020 we began standardizing and redesigning our purchase-to-pay process in Exact Synergy. As part of this, we integrated and modernized two procurement systems.

Thanks in part to the support of consultants, both projects went very well.

From Digitization to Automation

After we first worked together to ensure that all clinics could place their purchase orders digitally using the same system, we further automated our purchase-to-pay process in 2022. We specifically tackled this project with a consultant we’ve been working with for years.

As a result, employees can now scan items in our KanBan storage cabinets. The order is then placed via Exact Synergy to the right supplier. Upon delivery, the system retrieves the digital packing slip. The corresponding financial entry is created in Exact Globe.

The supplier's XML invoice is forwarded to Scan Sys ImageCapture, where purchase invoices are processed automatically. As a result, many manual tasks have also been automated on the part of our finance departments.

These are great developments that save a lot of time both at the clinic and for the central organization. We couldn’t have achieved this without their expertise.

Reliable, flexible, knowledgeable

The consultants have in-depth knowledge of the applications we use, such as Exact Globe, Exact Synergy, Scan Sys, LucaNet, and CIFAS.

But in the period following the merger, we also needed an experienced project manager to keep everything on track. They filled that role well, too.

When it comes to operational support for the Exact software, we’ve now built up our own team of application administrators. Their involvement has been reduced to a single senior Exact consultant who regularly assists our team. Fortunately, we have a good arrangement in place, so we can always respond quickly. That works very well in day-to-day practice.

If we let them know what we need with a little advance notice, they always manage to meet our needs. To sum it up: a great, reliable, and flexible partner with a wealth of knowledge and experience.
