Waada the Movement: The Art of Collaboration and Knowledge Sharing

The partnership between Waada the Movement and Alistar began in 2016 with the optimization of financial processes. Now, Exact has been the common thread throughout Waada for years, and the focus is on further automation. In this customer story, we speak with Jennifer Sonke (COO and Partner) about the collaboration with Alistar, the software they use, and the benefits it brings.  

The powerful combination of Exact and Waada

In 2016, Waada was already using Exact’s software, and they turned to Alistar to further optimize their systems. Jennifer Sonke: ‘Our primary goal was to further optimize and automate our core processes in Exact—invoicing, time tracking, and purchasing. We were able to effectively combine our own expertise with that of Alistar to introduce new systems step by step and expand our workflows.’ 

Drawing on her expertise, Jennifer knows how the processes should work. Collaboration is an essential part of making this a reality. ‘I appreciate the rapport I have with the consultants. They know the environment, which makes it easy for me to pivot and make progress. It’s great to work with a team that turns my ideas into reality and sometimes pushes me back to keep things realistic,’ says Jennifer.

An SLA for Transparent Collaboration

Waada has entered into an SLA to establish clear agreements regarding service levels. Through the SLA, they work proactively with Alistar to monitor their environment. ‘The SLA ensures that we have the same points of contact and facilitates smooth collaboration. I now receive a monthly report on our environment and can take quick action if, for example, our database is growing too fast,’ says Jennifer.

She sees that the added value becomes apparent mainly in the long term: ‘At first, we were skeptical about the cost versus the value. Now we see that we can adapt more quickly and stay ahead of disruptions. For us, the value of this SLA lies primarily in the personal contact; it’s nice to have a dedicated point of contact for all processes.’

Workflows from Planning to Billing

The Waada area consists of a comprehensive solution that includes, among other things, Exact Globe and Scan Sys for financial accounting and invoicing, Exact Synergy to document all workflows and use Power BI to turn all the data into insights.  

Jennifer’s vision is that a system should simplify complex processes for users: ‘Automation means standardization.’ We started by fully linking the process from closing a deal to invoicing through various workflows in Synergy. Integrating our processes was the initial goal; now the focus is more on keeping it simple and user-friendly.” 

With a fully integrated process, Waada’s focus is on further automation and improvement: ‘Our employees are the most important link in our process. They need a system that makes it easy for them to do their jobs. That’s why we continuously monitor whether we can eliminate unnecessary steps and automate inefficiencies.’

The result of the collaboration

Over the years, Waada and Alistar have overcome numerous automation challenges, and the results speak for themselves! ‘Our focus has shifted from simply using the system to optimizing processes. We now look more at how the system supports the business process rather than the other way around. A concrete example is that we have a fully integrated process, in which the invoicing process has been reduced from twenty clicks to five.’ 

Going forward, Waada will continue to focus on further developing its processes: ‘I’m proud of the environment we’ve built together. The capabilities of Exact are becoming increasingly clear to us, which allows us to make things easier and easier for our people.’ 

The partnership between Waada and Alistar has resulted in a more efficient, scalable, and future-proof organization. Thanks to automation, a strategic SLA, and continuous optimization, Waada has not only improved its processes but also laid a solid foundation for further growth.
