Exact WMS: Real-Time Insight
“To provide our customers with that extra level of service, we need real-time insight into our current data. This is important not only for finances but also for inventory. How much raw material is on hand? Can we mix and weigh the raw materials at the scheduled time so they can be pressed into tablets on time? To answer these questions, we chose Exact WMS (Warehouse Management System). This allows us to accurately track our inventory,” said Lelypharma’s controller.
“We sometimes have eight employees working in Exact at the same time. This isn’t a problem, and the data is always up to date. We don’t have to close a period first to see the current status. This works very well. It allows us to make commitments to our customers on short notice and then act quickly if circumstances require it. This is very important, especially during the market launch phase of new products. Being able to deliver consistently is crucial! This is what makes LelyPharma unique.”
“Sound advice from a partner who thinks along with you.”
Quality Comes First
In this industry, quality is the most important factor: because the quality of a medication must be tested and guaranteed, it’s not easy to switch suppliers. This makes it difficult to build new business relationships.
Before a client becomes a ‘customer,’ research must first be conducted to demonstrate that the quality of the medication is guaranteed. The manufacturing process must also meet all established requirements. This ‘Good Manufacturing Practice’ (GMP) is recorded in Exact. All steps within the production process are documented, which makes it much easier when we receive an inspection from the Health and Youth Care Inspectorate (IGJ). We can quickly demonstrate that the GMP also meets the established requirements.

Standard software supplemented with custom features
“In the past, we used Exact for DOS. We switched to Exact Globe. Alistar helped us with this by first thoroughly assessing our needs. They started with standard solutions and supplemented them with custom features.
”Clear advice from a partner who really thinks along with us. We’re very satisfied with the outcome. The software meets our expectations, and the implementation went smoothly. Whenever we have questions, there’s a single point of contact who knows what’s going on and is very solution-oriented. That’s really nice.”

Recording quality data and transferring it directly to the warehouse
We record both purchasing and inventory management in Exact. When we purchase a raw material, it is first tested. Was the correct raw material delivered, and does it meet the specified requirements? Using the Exact Quality Management module, we can define a large number of criteria for each item or raw material that must be met. Received raw materials and packaging are linked to this module and are automatically posted to a ‘blocked’ warehouse.
Once the raw materials have been tested and approved, they are automatically transferred to the ‘delivery’ warehouse. If products do not meet the requirements, they are transferred to the ‘blocked’ warehouse for rejected raw materials. This ensures we always have a clear overview of the current approved and rejected raw materials. By assigning a batch number to the approved raw materials, we can always trace them. We can even look back years to verify which raw materials were used in the medications.
