Vaess

Vaess is a specialized wholesaler of raw materials and semi-finished products for the food industry. By streamlining and automating their business processes, the Vaess team is able to accomplish more with fewer people. Joris Hermans, Director of Business Development, explains what the challenge was and how it was solved.

Focus on the core business

Our company knows the food value chain like no other. Whether it’s about improving appearance, yield, taste, shelf life, tenderness, texture, or the label, our team understands the industry’s requirements and expectations. That’s what we do best.

When we decided to optimize the automation of our warehousing and shipping processes, the question was: should we do it ourselves or outsource it? Our team is relatively small because we want to operate with as little overhead as possible. If we were to do it ourselves, the solution would never be optimal.

We quickly decided to outsource everything that wasn't part of our core business.

Automation Is Not an End in Itself

All warehouse processes are automated. First, we took charge of organizing the warehouse ourselves by installing new, elevated racks and determining the desired storage locations.

With Exact WMS, the receipt and shipment of goods are automated using handheld scanners. Logistical operations, such as adding and removing items from inventory, are now also performed fully automatically.

But that wasn't the end of our digital transformation. Automation isn't an end in itself; our main goal is to make our processes simpler, more efficient, and less prone to errors.

A scalable and future-proof solution

As we grew, we faced a choice: expand the administrative department or automate the document workflow. We chose the latter. As we continue to grow, the number of invoices will only increase. By automating, you’re choosing a scalable and future-proof solution. That’s why we’ve further automated our purchasing administration.

By using Scan Sys’s scanning software, invoices are automatically posted to Exact. In addition, following the acquisition of the Polish company Agersol, we asked them to handle the implementation of Exact at this new location.

The starting point here was to use the design developed for Vaess in the Netherlands as a basis and adapt it where required by Polish law.

Overview, insight, control, and consistency

The automation of both the warehouse and the purchasing process has led to further digitization: less paper, fewer manual tasks, savings in time and money, a clearer overview, and better insight into current inventory levels and results.

The structure of the Polish administration also ensures uniformity in operations.
